Project by Maze & Friends: aws: Event film for the Austrian Business Angel Day

Event marketing, because empty chairs don’t applaud.

Maze & Friends is the event marketing agency from Vienna. We make sure conferences, trade fairs and corporate events win registrations, exhibitors and sponsors before the date and don’t disappear into a photo folder afterwards. The programme is your business, the audience is ours.

In short: Maze & Friends, the marketing agency from Vienna, works for organisers and exhibitors across the DACH region. Event marketing covers everything that helps an event win attendees, exhibitors and sponsors and have an impact beyond the day itself. As an event marketing agency, Maze & Friends handles the marketing before the event, with landing page, ads and email, and the content afterwards: aftermovie, interviews and photos.

The programme is set. So, sadly, is the registration count.

The speakers are confirmed, the venue is booked, and still the registration count barely moves. The programme is rarely the problem. Usually nobody can see what it will be like there, because a text page with an agenda and a ticket button doesn’t sell a conference. What is missing is proof: images, voices and figures from the last edition that turn “interesting” into “I’m booking”.

After the event, things don’t improve. Hundreds of photos land in a folder, the aftermovie arrives three weeks later when nobody is talking about it any more, and sponsors get a PDF with logos instead of proof of their visibility. The marketing for the next edition therefore starts from zero again.

For exhibitors, the same applies in short form: the stand costs money, the contacts are there, and after the fair little happens with them. Whether the fair paid off is decided by the material from the stand, the conversations and the follow-up chain. The number of pens handed out doesn’t decide it.

Event marketing before, during and after the event.

Event landing page & ticket funnel

A page that sells: benefits before the agenda, voices and images from the last edition, clear prices and deadlines, registration with no hurdles. With tracking all the way to the ticket, so you can see which channel brings registrations and which only brings visits.

Ads & email before the event

Campaigns on LinkedIn and Meta aimed at exactly the audience that should come, plus email flows for early birds, reminders and last calls. We shift budget and message based on registrations, not gut feeling.

Winning exhibitors & sponsors

Sponsor deck and exhibitor documents with reach, audience and proof from the previous year instead of a logo wall and a price list. After the event, every partner gets their proof: photos, clips, mentions.

Event content on the day

Aftermovie, recap, interviews and event photos, planned backwards from the formats you will need afterwards. First clips while everyone is still talking about it, as at the Austrian Business Angel Day for aws or at the RIZ UP Genius Award for the Vienna Region.

Content until the next edition

One event day yields speaker clips, LinkedIn carousels, quotes and photos for twelve months: thanks to partners, review, call for speakers, early-bird launch. The marketing for the next edition then starts with finished material.

Measurement & trade fair funnel

Registrations per channel, cost per ticket, leads at the stand and what becomes of them afterwards. For exhibitors, we build the follow-up chain too, so contacts don’t end up in a pile of business cards.

From the first conversation to the next edition.

  1. 01Initial call

Which format, which audience, which figures from last year, which channels already exist? Then you get a fixed-price quote for the marketing, the event day or both.

  2. 02Plan backwards from the event

First we decide which formats you will need after the event and work back from there to everything that has to run beforehand, from the landing page via ads and email to the sponsor documents. That produces the shooting plan.

  3. 03Marketing

Landing page, campaigns and email flows go live. Registrations are measured per channel, and budget and message are refined according to the figures.

  4. 04Event day

Photo and video team on site, coordinated with stage management, technicians and speakers. Interviews take place during breaks, so nothing disrupts the programme.

  5. 05Delivery

First clips while the event is still the talk of the town, photos and aftermovie on the delivery plan fixed in advance, plus the proof for sponsors and partners.

  6. 06Twelve months of content

The material is released according to plan and prepares the next edition. Ongoing support has a three-month minimum term, then it is cancellable monthly.

We are not an event agency.

We don’t organise events. Venue, catering, stage technology, stand construction and attendee management stay with you or with an event agency we are happy to work alongside. Our job is to fill the room and keep the event working afterwards, and for that a clear interface with the team responsible for the day is enough.

We don’t do content without a plan either. A videographer who documents the evening and hands over a folder is often perfectly adequate for a one-off internal format, and we will tell you so. Event content in the proper sense pays off when a format comes back and has channels where the material can work.

We don’t promise sold-out rooms. A conference whose programme doesn’t interest its audience can’t be rescued with ads. What we promise is marketing that is measurable, and an event day that produces more than souvenir photos.

Whose events we market and cover.

Conference & congress organisers

Recurring formats that have to win tickets, speakers and sponsors anew every year. The material from the last edition sells the next one. That is why we plan both together.

Trade fairs & exhibitors

Trade fair organisers who need exhibitors and visitors, and companies with their own stand who want to turn stand costs into orders. Build curiosity beforehand, document at the stand, follow up afterwards, with a landing page that leads visitors to a meeting before the fair even starts.

Funding bodies, associations & corporate events

Award ceremonies, accelerator evenings, anniversaries and client events whose impact should reach beyond the evening, as in our projects for aws, the Vienna Region and Wirtschaftsagentur Burgenland. For aws, that brings more qualified enquiries for its high-end events.

What you can hold us to.

An event is judged twice: by the registration count and by what keeps working afterwards. You can hold us to both, and to these four points.

One team, one table.

Landing page, ads, photo and video on the event day and the content afterwards come from the same team. Whoever films in the room knows which clips the marketing for the next edition needs.

Whoever pitches, stays.

The senior people from the initial call also work on your event, from the landing page to the recap. That slows our growth. We accept it.

We count what lands.

Registrations per channel, cost per ticket, leads at the stand. We shift budget and message based on these figures, not on gut feeling.

Thinking along is included.

For a one-off internal format, a videographer who documents the evening is often enough. We tell you that before we offer a bigger package.

Frequently asked questions.

What is event marketing?

Event marketing is everything that makes an event known and brings it attendees, exhibitors and sponsors. The term has two meanings: marketing for an event, and the event itself as a marketing tool a company uses to build ties with customers and partners. Both follow the same logic: an audience that should come, a message that sticks and material that keeps working after the day. That includes the landing page, ads, email, sponsor documents and the photos, interviews and aftermovie.

What is the difference between event marketing and event management?

Event management organises the event; event marketing makes sure it gets attendees and has an impact. Management covers venue, technology, catering, running order and attendee administration, meaning everything that has to work on the day. Marketing covers audience, message, landing page, ads, sponsor acquisition and the content that sells before the event and provides the proof afterwards. Many event agencies cover both, usually with a focus on organisation. Maze & Friends only handles the marketing side and works with your team or your event agency for that.

What does an event agency do, and what do you do differently?

An event agency plans and organises events: concept, venue, technology, catering, running order and staff on the day. We don’t organise events. We market them and document them so that the material keeps working afterwards: landing page and campaigns before the event, a photo and video team on the day, and aftermovie, interviews and posts afterwards. The two complement each other well, which is why we like working alongside an event agency that runs the day while we fill the room and extend the impact.

How do you promote an event so that tickets sell?

An event sells tickets when prospects can see beforehand what it will be like. That takes a chain: a landing page that puts benefits before the agenda, proof from the previous year, clear prices and deadlines, then ads and emails aimed at exactly the audience that should come. Early-bird phases create commitment, speakers and partners share prepared posts, and tracking shows continuously which channel brings registrations. Anyone who only posts a ticket link gets visits, but no bookings.

When should conference marketing start?

Marketing for the next edition is best started right after the current one, with photos, clips and quotes while attendees are still talking about it. Then come the early-bird phase, speaker announcements and partner posts in stages, so that over months there are reasons to register now. The most intensive phase, with ads and email flows, falls in the last few weeks before the date. Anyone who only starts then pays for reach that would have come about organically earlier.

Which measures are part of event marketing?

Event marketing includes measures before, during and after the event. Before, that means a landing page with tracking, ads on LinkedIn and Meta, email flows for early birds and reminders, posts from speakers and partners, and documents for exhibitors and sponsors. On the day, photos, interviews, short clips and the aftermovie are produced. Afterwards come thanks to partners, the recap, speaker clips and proof of visibility for sponsors, until the early-bird phase of the next edition begins.

How much do event marketing and event content cost?

The costs depend on whether we only cover the event day, only handle the marketing or both. For content, shoot days, team size, number of interviews and cuts determine the effort; for marketing, it is the landing page, email flows, ad production and the ad budget that goes straight to the platforms. Multi-day events, several stages and same-day delivery cost more than one evening with one team. You get the fixed-price quote after the initial call, with no hidden items.

How do you win exhibitors and sponsors for a conference?

You win exhibitors and sponsors with proof rather than a price list. Both want to know who comes, how many, from which industries and with what reach before and after the event. A sponsor deck with photos, clips and figures from the last edition shows what a partner gets; good packages include visibility before the event, on the day and afterwards. After the event, every partner needs their proof. Partners who see their benefit renew, and that is the cheapest acquisition there is.

Which format does a conference need: aftermovie or recap?

A conference usually needs both, but in B2B the recap carries more weight. The aftermovie sells the mood: short, fast-cut, made for ads and the landing page of the next edition. The recap sells the content: topics, speakers and attendee voices, exactly what your audience comes for. Both come from the same shoot if the day is planned for it. For the Vienna Region’s RIZ UP Genius Award, we built a LinkedIn carousel in the client’s visual language to go with the recap.

Why should clips and photos go online shortly after the event?

Clips and photos have the strongest effect while the event is still the talk of the town. In this phase, attendees share posts, sponsors want their proof and media pick up material. That is why Maze & Friends delivers the first clips and a selection of photos early, and the aftermovie on the delivery plan we fix before the event. If you wish, we already edit during the event, so a clip can go online the same evening; that needs a second team member and approvals in real time and is therefore planned in advance.

How do you turn one event into twelve months of content?

An event becomes twelve months of content when the shoot is planned backwards from the later formats. What you need are speaker clips, interviews, quotes, photos of partners, attendee voices, aftermovie and recap. These building blocks are released according to plan: thanks to partners, review, call for speakers, early-bird launch, programme announcement. A videographer who only films the evening delivers too little material for that. That is why the preparation decides, not the edit.

What examples are there of event marketing and event content?

Four Maze & Friends projects show how event marketing and event content work together. For aws, we made the event film for the Austrian Business Angel Day 2025, with five interviews, an aftermovie and a reel. At the Vienna Region’s RIZ UP Genius Award 2026, it was 40 photos, three interviews, a recap and a LinkedIn carousel. The event photography at two accelerator events for Wirtschaftsagentur Burgenland brought more interest in the programmes. For Ghezzo Events, we produced a website film about conferences and seminars.

How do you measure the success of event marketing?

You measure event marketing in three phases: before, on the day and afterwards. Before the event, registrations per channel and cost per ticket count; on the day, leads and conversations; afterwards, the reach of the material, renewed partnerships and what becomes of the contacts. For exhibitors, the chain after the fair decides: how many contacts were followed up, and how many turned into meetings and orders? The prerequisite is tracking from the ad to the registration and a list in which no leads disappear.

Do we need a photographer and a video team for an event?

For an event that comes back or has partners, you need both, ideally as one coordinated team. Photos deliver proof for partners, press images and LinkedIn material; video delivers the aftermovie, interviews and clips. An event photographer alone brings no voices, and a videographer alone brings too few photos for the follow-up. For a one-off internal format, photos and a short clip are often enough. What matters is that the team knows the later formats and coordinates with stage management and technicians.
